Property Comments

The Property Comments page allows you to enter and track comments for a property. Comments allow you to add information about a property that is not stored elsewhere. For example, comments might provide information about a recent occurrence at the property or information about the security service. Property comments are not listed on any property reports.

There are several ways to open the Property Comments page.

To open the Property Comments page from a Work Request:

  1. Locate the work request using the My Requests or Find Requests page.

  2. Click the work request ID to open the Request Details page.

  3. Click the Property Comments link.

To open the Property Comments page from the Property module:

  1. Click the Property link at the top of the page.

  2. Select the Find Property tab.

  3. Enter the property search criteria and then click FIND.

  4. Click the property name link from the search results to open the Property Details page.

  5. Click the Property Comments link.

To open the Property Comments page from the Administration menu (system administrators only):

  1. Open the Administration Menu page.

  2. Under the ADMIN heading, click Edit Property.

  3. Click the Select Property button and select the property.

  4. Click the Property Comments link.

The Property Comments page displays all of the existing comments in reverse chronological order where the most recent comments are listed at the top. The following information is displayed for each comment.

  • Date – the date and time when the comment was entered

  • Entered By – the name of the user who entered the comment

  • Location – the location (floor, space, or subSpace) within the property that the comment is associated with

  • Comment – the text of the comment.

You can add comments if you want to include additional information about a property. To add a property comment:

  1. Click the Create Comment link.

  2. If you want to specify a specific Location within the property that the comment pertains to, enter location values.

    Location is highly configurable. Your system may display one or more of the following fields.

    • Space/Floor – Select a value to associate the comment with a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.

    • Floor – Select a value to associate the comment with a particular floor within the property.

    • Space – Select a value to associate the comment with a particular space within the property. You cannot select a space until after you select a floor.

    • Sub-Space – Select a value to associate the comment with a particular subSpace within the property. You cannot select a subSpace until after you select a space.

  3. In the Comment field, enter the comment.

  4. Click OK.

    The comment is added to the top of the list.

Property comments can be deleted when they are no longer relevant. To delete a property comment:

  1. Locate the comment you want to delete.

  2. Click the DELETE button to the right of the comment.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
